Imagine sitting in a familiar classroom, the steady ticking of a clock offering a comforting rhythm as you navigate a timed exam. Now, picture this scenario moving online. Instead of a simple, visible clock, there’s a tiny, hard-to-find timer amidst a confusing interface. Stress levels rise as the digital experience turns into a barrier rather than an aid.

Does navigating a digital exam really have to be so difficult?

When the COVID-19 pandemic struck, schools across the globe transitioned to online learning, uncovering both the possibilities and challenges of digital education. Timed online exams, a key component of this shift, frequently failed to deliver a smooth and effective experience. At Grok, a leading digital education provider in Australia specializing in Learning Management Systems for schools and universities, I took on the challenge of addressing this issue. The mission: to create an intuitive, stress-free exam platform that empowers students to focus on what matters—the exam itself.

Understanding the Problem

Understanding the Problem

The COVID-19 pandemic accelerated the adoption of online education, but it also exposed glaring usability issues in digital assessment platforms. Grok's LMS provided an online exam feature called the "Timed Exam Mode" that met basic functional needs but presented significant opportunities for improvement. Timed exams, in particular, presented challenges in:

  • Interface clarity and timer visibility.

  • Reducing user anxiety while maintaining exam integrity.

  • Aligning the user experience with modern educational needs.

Despite the growth of online learning, there was little research on the usability of timed exam platforms. This lack of established guidelines made improving Grok's Timed Exam Mode both a challenge and an opportunity.

As the solo UX designer for this project, I aimed to:

  • Identify and address main areas of concern.

  • Improve the user experience with Grok Academy's Timed Exam Module.

  • Synchronize the design with user requirements and organizational objectives.

The ultimate goal was to make Grok the preferred platform for online exams across Australian schools and universities by creating a seamless and student-friendly experience.

Initial Scope Call—Clarifying the Business Goal

My journey began with a scope call involving Bryn (Lead Data Analyst) and Thania (Lead Product Designer) from Grok. We discussed the goals for the project, key challenges with the current Timed Exam Mode, and initial hypotheses about user pain points. I also clarified the project timeline to ensure realistic planning and alignment. This conversation set the stage for a research-driven design approach.

The business goal for Grok was to become the platform of choice for online exams in Australian universities and schools. Grok wanted to create a solution that could handle the unique challenges of online assessments, making the experience seamless and user-friendly. To stay aligned with this vision, I regularly consulted with Thania and Bryn, ensuring that the design enhancements addressed both user needs and business objectives. Aditionally, I conducted market and competitor research, analyzing other online learning platforms, including Canvas, Grok’s primary competitor with a global presence.

I explored existing research to understand the benefits and limitations of online timed exams. Key findings included:

  • Shifting Educational Landscape: COVID-19 led to the quick adoption of remote learning adoption. Initial doubts shifted to recognising online education's advantages.

  • Significance of Timed Examination: COVID-19 emphasized timed online exams, testing time management and problem-solving skills.

  • Preference for Online Testing Systems: Studies show students prefer computer-based exams, offering flexible start times and quick feedback.

Heuristic Evaluation

Heuristic Evaluation

To gain a structured understanding of the existing platform’s usability issues, I conducted a heuristic evaluation based on Nielsen’s principles. This evaluation highlighted areas such as:

  • Visibility of system status: The timer was not prominent enough, leading to user uncertainty.

  • Match between system and real-world expectations: The platform lacked familiar exam metaphors, increasing cognitive load.

  • Error prevention: Navigation features did not adequately prevent accidental skips or incomplete submissions.

To complement theoretical research, a moderated “think-aloud” usability test was conducted with 15 University of Melbourne students, including 5 familiar with Grok’s exisiting Timed Exam Mode. Participants completed a 7-minute test while thinking aloud. A pilot test ensured the process was smooth and effective.

After implementing the design changes, I ran another round of usability testing. This round was a crucial step in validating the improvements. The results were highly positive—participants found the new features intuitive, and many highlighted how much more helpful the interface was. They felt the changes made the exam experience smoother and more manageable, especially the personalized timer options and the clearer alerts.

My biggest lesson from this project was learning to focus on what truly matters. It’s easy to get lost in the details, especially when there are multiple problems to solve. But I realized that solving one key problem thoroughly is more effective than juggling many smaller issues at once.

Looking back, I would have spent more time defining priorities early on, rather than trying to tackle everything at once. Breaking down tasks into smaller, manageable chunks would have allowed me to maintain a clearer focus on the end goal. Communicating these priorities from the start would have helped the team stay aligned and avoided some of the overwhelm I felt.

This project not only strengthened my design skills but also taught me the importance of balancing user needs with business objectives. It reinforced the value of a user-centered approach in delivering impactful, meaningful solutions.

My most significant contribution was redesigning Grok’s Timed Exam Mode into a user-friendly tool that addressed critical pain points. By combining research, usability testing, and iterative design, I helped create an exam platform that truly supports students.
